Why are deadlines important?

  • Registration deadlines can be found on the back of the brochure and inside the seasonal program brochure in the Special Information section.

  • All registrations received by the lottery deadline have an equal chance of being placed in a requested program.

  • Registering after the deadline date, decreases your chances of getting into the programs you requested.

  • Registering by the deadline helps WDSRA assign the appropriate number of staff to programs.

  • Once a program season begins, it is unlikely you will be able to register for a program unless it’s a special event.

  • You are able to register for special events up until two weeks before the event, unless the program requires the purchase of tickets or has reached maximum enrollment.

  • Registering by the deadline helps WDSRA assign the appropriate number of staff to programs.

  • When a program is cancelled, participants will be informed of the cancellation via their program confirmation or a phone call.

What is the Lottery and how does it work?

  • The Lottery is a computer run program that randomly picks In-District individuals who register by the In-District Registration Deadline. The Lottery is spun after the In-District Registration deadline date, and before Out-of-District Registrations are processed.
  • In-District Registration Lottery Deadline is listed on the back cover of each seasonal brochure. If you live In-District and register for a program by this date, you ensure your place in the lottery for that program. You are considered In-District if you live in Bloomingdale, Carol Stream, Glen Ellyn, Naperville, Roselle, Warrenville, West Chicago, Wheaton and Winfield.
  • Out of District Registration is listed
  • If the number of registrants for a program exceeds the maximum number allowed in a specific program, they will be put on a waitlist.

When should I expect to receive confirmation of my seasonal programs?

  • You will receive your confirmation approximately two weeks after the program registration deadline. Confirmations will be e-mailed to everyone that has provided us with an email address. If an email address has not been provided, your confirmation will be mailed to you.
  • By provided us with your e-mail address it saves on paper, you will receive your confirmation faster and keeps WDSRA administrative cost down.
  • Please DO NOT call the WDSRA office to find out if you have been enrolled in a program.
Rather, we ask that you wait until you receive your confirmation.

How do Waitlist and Cancelled programs work?

  • Once a program has reached its maximum number of registrants, you will be placed on a waitlist. Registering for a program on time can help determine whether that program will cancel or not.
  • WDSRA staff decides if they are able to accommodate participants placed on the waitlist. If so, participant will be enrolled. If not, they remain on the waitlist until a refund is issued. You will be called if there is an opening in a program before you are taken off the waitlist and enrolled. If you remain on the waitlist until after the program begins, you will be issued a refund.

How do refunds work?

  • Refunds for all programs may be obtained up to two weeks prior to the first class date. A $5 processing fee will be charged for each program dropped at the request of the parent/participant. A household credit will be issued for refunds less than $10. Refunds for special events may be obtained up to two weeks prior to the event unless tickets or contracted services have been purchased. All refunds will be issued in check form.

Why don’t we refund Credit Cards?

  • For your protection, credit card information is not kept on file. After registration, credit card numbers are destroyed.

How do scholarships work?

  • Families can request scholarship assistance by filling out the Scholarship Form. You can find the Scholarship Form at: http://www.wdsra.com/forms.htm
  • Read all of the information on the form, including the guidelines. Fill out the form in its entirety and return it to the WDSRA office by the scholarship deadline (deadline date is located on the back cover of the WDSRA brochure.)
  • A scholarship request can be made for three (3) programs and/or special events per season prior to the seasonal program registration deadline.
    a. The amount of assistance may fluctuate based on funds available; the maximum amount of assistance is 50% of the program fee.
    b. You will be notified after the Scholarship deadline if you have received scholarship funds.
    c. All trips and camps receive a maximum scholarship of $100 only.

What is an Annual, and when are they due?

  • An Annual is a form that is filled out for every participant by the participant’s parent(s) or caregiver(s). This form provides WDSRA with necessary information (the information included on the annual remains confidential and is only used for the participant’s benefit), that will help WDSRA best serve the participant. It is important to complete the form thoroughly and provide as much necessary information as possible.
    a. WDSRA requires that this form be completed one time per year. For returning participants, the Annual Information Form must be filled out and returned to WDSRA before being able to register for any summer programs. New participants, throughout the year, must fill out the Annual Form before registering for any programs.
    b. Those who attend only one of the Drop In Center programs are not required to fill out an Annual Information Form.
    c. The Annual Information Form can be found at: http://www.wdsra.com/forms.htm
  • On our Annual Information Form you will notice a section titled “Demographics”. This area is important for us when we apply for grants. Grants help us keep the cost of programs down. Some of our grant applications require that we provide demographic information on the families/participants that use our services. This information will be used only for grant purposes and will be kept confidential.

What is the Special Olympics form?

  • In order for an athlete to compete in a Special Olympics program a current Special Olympics Medical form must be on file at the WDSRA office. The Special Olympics Medical form is valid for two years from the date of the doctor’s signature. This form is separate from the WDSRA Annual Information Form.
  • Parents and athletes are responsible for returning the completed form to the WDSRA office before registering for a Special Olympics program. This form must have the original signature of both the doctor and the parent/guardian.
  • The Special Olympic Medical Form can be found at: http://www.wdsra.com/forms.htm
